    Webhook

    Term #174

An automated 'phone call' between systems when an event occurs: a new order → Shopify notifies Klaviyo, the 3PL, and GA4 simultaneously. Unlike an API, which requires a query, a webhook 'pushes' data automatically.

    In practice

A webhook is the tech stack's 'instant messenger.' Without webhooks, systems sync every X minutes (polling). With webhooks, a change happens → a notification fires instantly → every system updates within seconds. Critical for a real-time experience.

    Common misconception

'A webhook is an API.' Both connect systems, but: API = you ask, the system responds (pull). Webhook = the system notifies you automatically (push). Webhooks are more efficient for events — no wasted polling.

    How to fix it

Webhook not working? (1) Check the endpoint URL — is it reachable and does it return 200 OK? (2) Check the payload — does the JSON include all required fields? (3) Check retry logic — how many attempts on failure? (4) Add webhook logging for debugging.

    Example

Shopify store: a 3PL synced every 4 hours via polling. An afternoon order didn't reach the 3PL until 8 PM → processed the next day. With webhooks: order → webhook to the 3PL in 5 seconds → immediate processing → earlier shipping. CSAT rose 8 points.

    Priority

Set up webhooks for core events: new order, payment received, fulfillment update, return requested. Every leading platform (Shopify, WooCommerce) offers a built-in webhook console. 30-minute setup.
